Welcome to Pro Catering Ltd (“we”, “us”, or “our”). These Terms & Conditions govern your use of our website (procatering.co.uk) and set out the legal terms under which we provide our mobile catering services (including BBQ trucks, ice cream vans, food stalls, and bespoke event catering).

By submitting an enquiry, requesting a quote, or booking our services, you agree to be bound by these Terms & Conditions.

1. Event Quotes & Booking Confirmations

Quotations: All quotes issued by Pro Catering Ltd are valid for 30 calendar days from the date of issue unless specified otherwise. Quotes are based on the guest count, date, duration, and menu selections provided during initial consultation.
Booking Confirmation: A booking is considered confirmed only upon receipt of a written confirmation from us and payment of the required deposit.
Changes to Enquiries: Any significant changes to the event date, location, guest numbers, or menu after quote confirmation may result in a revised quotation.

2. Payments & Deposit Structure

Deposit: A non-refundable deposit of 25% of the total estimated booking value is required to secure your requested date and catering unit(s).
Final Balance: The remaining balance must be cleared in full no later than 14 calendar days prior to the scheduled event date.
Late Payments: Failure to settle the final balance by the specified deadline may result in the cancellation of your booking and forfeiture of the deposit.

3. Cancellations & Refund Policy

If you need to cancel your booking, you must notify us in writing via email to info@procateringltd.co.uk. Cancellation charges apply as follows:

More than 30 days prior to event: Full refund of any payments made excluding the non-refundable 25% deposit.
Between 14 and 30 days prior to event: 50% of the total booking value will be retained or due.
Less than 14 days prior to event: 100% of the total booking value will be retained or due, as ingredients, staffing, and logistical arrangements will have been committed.

4. Vehicle Access, Power & Venue Requirements

To ensure smooth delivery of our mobile catering units (BBQ trucks, ice cream vans, food stalls):

Site Access: The client is responsible for ensuring clear, safe, and legal access for our catering vehicles to enter, park, set up, and exit the venue.
Surface & Space: The setup location must be flat, stable, and suitable for commercial vehicle weight and dimensions.
Power & Utilities: Where external power is required, specifications will be agreed in advance. If power cannot be supplied by the venue, generator hire must be arranged prior to the event date.
Permits & Licensing: The client is responsible for obtaining any necessary venue permissions, landowner consents, or local authority permits required for catering operations on private or public land.

5. Dietary Requirements & Allergies

Notification: Final guest numbers, dietary requirements, and known food allergies must be confirmed in writing at least 14 days prior to the event.
Allergen Notice: While we follow strict food hygiene and safety standards, our mobile kitchens handle wheat, dairy, nuts, gluten, and other potential allergens. We cannot guarantee 100% cross-contamination-free environments for severe allergies.

6. Force Majeure & Limitation of Liability

Unforeseen Events: Neither party shall be held liable for failure or delay in performing obligations under these Terms if caused by events beyond reasonable control, including extreme weather conditions, natural disasters, severe road closures, or government restrictions.
Limitation: In any event, the maximum total liability of Pro Catering Ltd under or in connection with any booking shall not exceed the total amount paid by the client for the specific booking.

7. Website Usage & Intellectual Property

All content, logos, images, and visual elements displayed on this website are the property of Pro Catering Ltd or licensed for our use.
Unauthorized reproduction, redistribution, or commercial reuse of any website material is strictly prohibited.

8. Governing Law

These Terms & Conditions and any disputes arising out of or in connection with our services shall be governed by and construed in accordance with the laws of England and Wales. Both parties submit to the exclusive jurisdiction of the courts of England and Wales.
